Profile

As part of the ICT PMO team, we are looking for a PMO Specialist that will be in charge of defining and implementing the overall program governance of the ICT EURO program. Responsible for making sure that key program and project activities are delivered in scope, on budget and on quality through defining the program interactions within the IT unit and other UEFA divisions in close collaboration with the ICT event teams and the operations teams.

The position is also responsible for setting up a knowledge management system to prepare for the challenges of UEFA EURO 2020 so experience in IT program and project management, ideally in event management and at ease negotiating and working with technical and business stakeholders in matrix environments in medium to large organisations is highly desirable.

Purpose

Responsible for setting up and implementing program governance, processes and tools for EURO 2016 ICT projects. Responsible for overall alignment and coordination of these projects and for the performance of all program responsibilities detailed below. Program management core responsibilities

Governance and life cycle

- Defining program governance plan;

- Implementing program governance, facilitating key meetings, monitoring progress;

- Ensuring program projects are correctly managed, monitoring progress.

Schedule management

- Ensuring project planning is correctly managed across all program projects;

- Ensuring program milestones and key activities are tracked and aligned with all stakeholders.

Financial and procurement management

- Managing program budget and actuals;

- Keeping an overview of suppliers and contracts, ensuring alignment with guidelines.

Resource management

- Ensuring resource capacity needs are defined and managed.

Communication

- Defining and implementing a communication plan;

- Ensuring alignment with the Operations Division and the other EURO projects.

Quality and risk management

- Ensuring proper risk identification and mitigation.

Stakeholder management

- Managing appropriately all stakeholders in the program (ICT and business);

- Ensuring ICT governance processes are applied to the EURO programme;

- Ensuring interdependencies with ICT projects external to the EURO programme are managed;

- Ensuring alignment with ICT Event Management.

Knowledge management

- Ensuring knowledge management is properly implemented across the program, including regular debriefs across all key activities and during program closure.

Other responsibilities

- Supporting the PMO with business as usual activities.

- Activity during EURO competition and travel needs

- During program implementation travel needs are limited in duration and frequency

(~5-10%); travel mainly to France.

- During the competition (summer 2016) travel frequency and duration can increase significantly, flexibility to travel any time for long period is needed. Key activities during the competition are gathering of key metrics and ensuring knowledge management (debriefs) are done, as well as supporting the event teams if needed.

Requirements

Experience required:

- from 4 to 6 years / 4-6 years of work experience as project/program manager in medium to large multicultural companies

- From 1 to 3 years / previous experience working in matrix environments without formal direct authority over teams

- Less than 1 year / previous experience in major event organisation with a focus on ICT aspects is a plus

Education:

- Bachelor's computer sciences or management

Languages:

- English / Proficient

- French / Proficient

Additional requirements:

- Knowledge of events

- Knowledge of a portfolio tool, i.e. Planview (basics)

- Financial acumen
